How to create a photo QR code for any event in 5 minutes
keep memorizPhoto QR codes are not just for weddings. This is often believed because weddings are the events where the need is most obvious. But the same logic applies to any occasion that brings people with smartphones together: photos get scattered across different phones, and without a centralized system, most will never reach you.
Birthday, baby shower, family Christmas, reunion, corporate event, the creation process is identical and truly takes 5 minutes. Here's how to do it.
For which events is it suitable?
Weddings: This is the most common use, and for good reason. A large number of guests, a mix of ages, a professional photographer who can't capture everything, and photos with very high sentimental value. The QR code is particularly relevant here because there are many guests, spread throughout the venue, and they all have unique perspectives.
Birthdays: Less formal, often fewer guests, but the photo dispersion is identical. The ease of setup is an advantage: no need to coordinate with a caterer or photographer. An A4 printout of the QR code is enough for an apartment party. For big birthdays (50th, 60th, 70th), with guests from different generations, it's particularly useful.
Baby showers: Intimate atmosphere, often close guests, a unique occasion that won't be repeated. The album becomes a gift for the child, who in 20 years will be able to see the faces of everyone present even before their birth.
Family Christmas: An annual gathering that brings together multiple generations. Photos of the Christmas table, unwrapping presents, children, grandparents, they interest everyone but rarely end up with everyone. A QR code allows each branch of the family to contribute to and access the album.
Family reunions: Reconnecting with extended family after months or years. These moments are rare and precious. Centralizing all photos in an album accessible to all family members, regardless of their age group, has a value far exceeding the cost of the service.
Corporate events: Team building, farewell parties, end-of-year celebrations. Professional photos have a different value, they are often used to populate company social media, intranets, or simply to share a good time among colleagues. A QR code avoids having to chase photos from every participant afterward.
Step 1: Choose a service
The criteria for choosing the right service are simple. First criterion: no app for guests. If your guests have to download something, you will lose between 30 and 50% participation. Second criterion: private album. Your photos should not be publicly accessible. Third criterion: full resolution. Avoid services that compress uploads. Fourth criterion: cards or printable support included. You will need something to place on the tables.
Keep Memoriz meets these four criteria. The QR code points to a web page directly accessible from the camera, the album is private and accessible only with your link, photos are uploaded in full resolution, and 15 table cards are included in the offer.

Step 2: Create the album and generate the QR code
With Keep Memoriz, the process consists of 3 steps on the website. You enter the event name (e.g., "Marie and Thomas's Wedding" or "Sophie's 40th Birthday"), choose the options (photo moderation, personalized welcome message), and generate the album. The QR code is immediately available for download, in high resolution, ready to be printed.
The album link is also available to be shared by message or email to your guests before the event, some prefer to have the link directly rather than scanning the QR code on site.
Step 3: Print and place the QR code
The minimum size for a readable QR code: 3 x 3 centimeters for scanning at 15-20 cm distance. On an A5 table card, allow at least 5 x 5 cm to be comfortable. On a poster or panel, you can go up to 10 x 10 cm or more.
Placement depends on the type of event. For a wedding: on each dining table, at the entrance of the room, and on the "guestbook" panel. For a birthday: next to the cake and on the main table. For a baby shower: on the gift table and at the entrance. For a family Christmas: on the dining table and near the Christmas tree. For a corporate event: at reception and on the tables.
For precise recommendations on placement according to the type of venue, read our detailed article on where to place the QR code for your wedding, the principles apply to all types of events.
Tips for maximizing participation
Announce it verbally. A visual instruction on a card helps, but a loud announcement on the microphone (or simply by the host of the evening) multiplies participation. "I wanted to tell you about the photo album, here's how to contribute", 30 seconds that change everything.
Make the QR code visible. A code printed in a corner of the room will not be scanned. It must be at eye level, well-lit, and within the natural field of vision of guests in their seats.
Integrate a photo challenge. A mini-game ("photograph the following 5 moments and share them in the album") turns participation into a game and multiplies the number of shared photos. For challenge ideas, check out our article on ways to surprise your guests.
Mistakes to avoid
QR code too small: a QR code less than 3 cm square on a table card will often be unreadable in normal lighting conditions. Always test readability before mass printing.
Poor lighting for scanning: a QR code in a dark corner or under direct lighting that creates reflections on the paper will be difficult to scan. Make sure the place where you put it is sufficiently lit.
Not testing before the event: Always test the QR code from your own phone, then from another model (iPhone if you have an Android, and vice-versa). A test scan takes 2 minutes and avoids unpleasant surprises.
Forgetting to communicate: even the best QR code won't work if no one knows it's there. Plan multiple communication points: on the invitation, at reception, on the tables, and a verbal announcement.

FAQ
What is the minimum size for a printed QR code?
General rule: 3 x 3 cm minimum for scanning at 15 cm distance (table use). For a wall display or a panel that people scan at 50 cm or more, allow at least 8 x 8 cm. When in doubt, enlarge, a larger QR code is always more readable than one that is too small.
Does it work without Wi-Fi?
Yes. 4G or 5G connection is sufficient to upload photos. Modern phones automatically switch to mobile data if Wi-Fi is absent or weak. If your event takes place in an area with poor network coverage (rural area, basement, thick building), share the venue's Wi-Fi code on the table cards in addition to the QR code.
How long does the album remain active?
With Keep Memoriz, your album is permanently active. There is no expiration date. You can access your photos in 5 years, in 15 years, in 30 years, the album will still be there. This is a commitment we make, unlike free services that can change their terms at any time.
